Why Bulk Update Resource Records
Over time, especially with multiple cataloguers involved, and especially if your data has been converted from a legacy library management system, it is possible that inconsistency has crept into some elements of your bibliographic or holdings records, e.g., F and FIC have been used to define books in your Fiction collection, or BOOK and BOOKS have been used to define the books in your collection. Under some circumstances bulk updates can speed up the process of bringing consistency to these records.
Alternatively you may wish to redefine some data attributes of bibliographic or holdings records based on disparate groupings, e.g., media, barcodes, or subject groupings. Bulk update allows you to improve data consistency, to improve your patrons' experience, and to improve management of your resources. Before you can bulk update records, you must first create a candidate set of records.
Note 1: Bulk Update will not change the status of On loan items. On loan items must be returned or marked Lost before removing or changing status in all cases.
Note 2: Bulk update can only proceed between Sites with similar attributes, i.e., Physical to Physical or Either, Digital to Digital or Either and the reverse. Physical Site data cannot be updated to a Digital Site or vice versa.
Note 3: Bulk update processes may be very difficult to undo, so it is important to carefully consider all bulk updates before processing.
This method allows you to update all copies attached to a single bibliographic record.
Go to: Cataloguing
- Search for title or ISBN from the OPAC or catalogue search screen.
- Open the catalogue iconto open the record.
- Open the Copies tab.
- Click thebutton to update ALL non-removed copies attached to this Bibliographic record.

Note: The bulk update of records is performed only on the candidate list of records displayed on the search page at the time.
- Choose tocurrent selected attributes of all resources on the list:
- Site - change from current site to new site. Note: If the records you are planning to bulk update are from different sites, then you will not be able to perform a site update.
- Section - change from section site to new section. Note: If the records you are planning to bulk update are from different sections, then you will not be able to perform a section update.
- Budget Dept - change from budget dept site to new budget dept.
- Status - change from current status to new status.
- Media Type - change from current media type to new media type. Note: If the records you are planning to bulk update are of different media types, then you will not be able to perform a media type update.
- Replacement Cost - where a resource does not have a replacement cost recorded, i.e., null or 0.00, update resource's replacement cost to be the actual cost of that resource if recorded, or to the value nominated if the actual cost is not recorded. Note: Replacement cost is communicated to students with overdue loans and is used during stocktake to tally a value for missing items.
- Call Number (bibliographic classification + bibliographic main entry = call number, local call number = call number):
- Classification - new classification.
- Main Entry - new main entry.
- Checkto Preserve Main Entry - if your list was prepared using the same From: and To: classification, e.g., From: 550 To: 550, or From: F To: F. Note: This option is only available if the candidate list was created from the By Searching tab.
- Checkto Update bibliographic Classification and/or Main Entry; consolidating local call numbers -
attempt to consolidate local call numbers with their bibliographic call number. Note: This option is only available if the candidate list was created from the By Searching tab.
- Type YES to acknowledge you understand the implications of doing this bulk update.
