Infiniti has a comprehensive, built-in communication system for correspondence based around events or communication scenarios where each communication scenario is associated with one or more scenario templates containing appropriate messages and information to support that communication scenario which are  sent to one or more possible communication contacts.


Patron Contacts - the people you communicate with for each patron.

Circulation Communication Scenarios the circumstances under which you communicate with patron contacts.

Customizing Email Messages the message you communicate to patrons' contacts.

 

Patron contacts can be added manually or they can be imported.

Add a Patron Contact Manually


Go to: Settings> Users > {user name}

  1. Click .
  2. Choose the Contact Role: 
    1. Patron - the patron themselves, i.e., the patron receives communications on their own behalf.
    2. Guardian - the patron's guardian, i.e., the parent/guardian/carer receives communications associated with the patron.
    3. Other - a contact other than the patron or a patron's guardian, i.e., the patron's teacher, counselor, or the head of school.
  3. Choose the Contact Type:
    1. Email - patron's email address recorded in Infiniti.
    2. Phone - not yet activated.
    3. Social Media - not yet activated.
  4. Clickif this is the Primary Contact for this patron. Note: Best practice is achieved when the primary contact for a patron is the patron themselves. This setting does not impact who will receive messages.
  5. Set Addressee if required, e.g., Mrs Smith, Dr Jones, John Citizen, Joan Person.
  6. Record the Email Address for this contact.
  7. Set the Blind Carbon Copy preference for this patron contact:
    1. Yes = send email to this addressee via bcc.
    2. No = send email to this addressee normally.
    3. School default = send email to this addressee using the school default setting Note: Some contacts may have reason to keep their email address confidential. Checking this option will cause all email sent with this addressee to be BCC'ed to their specified address.
  8. Set the Usage scenario:
    1. Any Communication Scenario - this contact will receive communications for this patron for the scenarios selected.
    2. No Communication Scenario - Record Keeping Only - this contact will not receive communications for any scenarios.
    3. Custom - this contact will receive communications for a subset of the available scenarios, i.e., matching communication scenarios only. Note: By default each contact will have the full complement of available communication scenarios:
      1. Click on Matching Scenarios to move them back to the Available Scenarios list.
      2. Click on Available Scenarios to add them to the Matching Scenarios list.
  9. Click.


Import Patron Contacts


Go to: Settings> Users > Import > Contacts


An explanation of the CSV file format is provided in the Contacts CSV Columns space. You may omit non-mandatory columns from the CSV file if no values are to be submitted for that column.

  1. Please upload a CSV file by clicking
  2. Choose the Import process:
    1. Add - add the patron contact records in the CSV file as new contacts. Note: This process adds all contacts for all patrons in the CSV file.
    2. Replace Patrons In File - delete all contacts for each patron in the CSV file, and then add contacts in the CSV file as new contacts. Note: This process updates the contacts for each patron in the CSV file.
    3. Replace Academic Levels - delete all contacts for each student listed in the CSV file who is in the selected academic levels, and then add the contacts in this CSV file as new contacts. Note: This process updates the contacts for each patron in the CSV file based on the academic levels selected, therefore the patrons listed in the CSV file should be members of the selected academic levels. Patron contacts in the CSV file not in the selected academic levels will be added as new contacts.
    4. Replace contacts - delete all contacts for every patron, and then add contacts in the CSV file as new contacts. Note: This process adds all contacts for all patrons in the CSV file. Contacts of patrons not in the CSV file will be deleted.
  3. If Add, click.
  4. If Replace - Patrons in File, set Keep Custom Contacts toto preserve any previously manually added or edited contacts and click.
  5. If Replace - Academic levels, set Keep Custom Contacts toto preserve any previously manually added or edited contacts and click


  6. If Replace All, set Keep Custom Contacts toto preserve any previously manually added or edited contacts and click.

Note: Use a replace option when you are replacing or updating existing Infiniti contacts with contacts from your student administration system. 

Note:  It is not possible to reverse this process.
