You can prepare Backward Glance reports from your catalogue using basic filters these reports. This report is a tool to assist cataloguing rather than a catalogue or collection report tool.


Note:  If you want to produce research or reading guides containing specific items and resources in your library catalogue for target student audiences, consider preparing bibliography lists via the My Lists tool. If you want to run catalogue or collection reports based on a variety of multiple filters, consider running Bibliographic Catalogue Reports or Resource Collection Reports.


Backward Glance


A Backward Glance Report is a special report designed to assist in cataloguing. It quickly locates bibliographic records catalogued between catalogue dates and is intended to review cataloguing activity, usually within the last month. This report is useful for reviewing recently catalogued bibliographic records and the associated copies or URL link for records of those items.


Backward Glance is especially useful for identifying bibliographic records for which no copy or link has been added, allowing the cataloguer to quickly identify the new items that have not yet had copies or a link recorded, perhaps because the cataloguing process was interrupted when last worked on, or because the items were catalogued by another cataloguer. 


It can also be used by libraries that have multiple cataloguers, who may even work on different days, so any cataloguer can see how the cataloguing of new items is progressing.


Backward Glance also supports bulk cataloguing of up to 1000 new titles/books, i.e., MARC records, in seconds. It then displays these new bibliographic records here allowing any cataloguer to quickly find those bulk catalogued bibliographic records that need individual copy details (barcodes, prices, locations, etc) or URL/link data to be added to the bibliographic record to complete the cataloguing as and when they have time.


Running Backward Glance Report

  1. All Media Types or select a specific Media Type.
  2. Date range:
    1. Catalogued After - bibliographic records catalogue after this date (optional)
    2. Catalogued Before - items catalogue before this date (optional)
  3. Optional Filtered by:
    1. Show all Bibliographic Records
    2. Show Bibliographic Records With Resources - only show parent bibliographic records with at least one active child copy or URL link attached. Note: Only bibliographic records with at least one child copy or link will be found during a normal OPAC search
    3. Show Bibliographic Records With No Resources - only show parent bibliographic records with no child copy or URL link attached, i.e., childless bibliographic records. Note: Childless bibliographic records can be in your catalogue because they were never fully catalogued or because all their copies or links have been purged. These bibliographic records will not be found during a normal OPAC search
    4. Show Bibliographic Records With Only Removed Resources - only show parent bibliographic records with one or more children in a Removed status, i.e., marked for removal but not yet purged. Note: These bibliographic records will be found during a normal OPAC search if at least one child copy is in an active status
    5. Show Bibliographic Records That Never Had A Resource - only show parent bibliographic records that never had children copies or URL links attached. Note: These bibliographic records will not be found during a normal OPAC search


Once a report displays the data records you can:

  • - save as a Favourite Search for future reuse.
  • - send to Bulk Update.
  • - download or export to Excel CSV or MARC21.
  • - open and inspect record in cataloguing.

Enhancing Basic MARC21 Records


If you have the ISBNs for a set of books, eBook, or eAudiobooks, you may be able to bulk import their MARC records from a source.
